Instructions For Use
Follow along the row containing the desired report label and click the box below the appropriate division.
Give the reports time to generate. Some of these reports take a minute or two if traffic is heavy.
Be sure to check the top of the report for the date on which the report data was compiled. The data is usually updated each Sunday evening.
These reports can easily be tailored to meet specific needs with only one or two additional mouse clicks.
If you wish to only view a particular flotilla, run the entire division report and then click on the flotilla name and the report will regenerate to display just that flotilla.
If you wish to only view one individual, run the entire division report and then click on the individual's name and the report will regenerate to display just that individual.
If you wish to display only one category of activity, run the entire division report and then click on the desired category in the column heading and the report will regenerate to display just that category.
You can generate a flotilla as explained above and then click on a specific category to display just that category for that flotilla only.
There are a many other techniques to fine tune the reports but the explanations will detract from the simplicity of this one click system. Hopefully, the above reporting tool will whet your appetite to learn more about using AuxInfo. AuxInfo can be found at http://www.auxinfo.uscg.gov/. Don't worry about destroying data or messing up the system. You can't hurt anything by experimenting.
TASKS
The AUXINFO Tasks Report lists training, both mandatory and voluntary, that each Auxiliarist has completed in the current calendar year on the date shown. A one ("1") in a column means that the task described in the column heading has been completed during the report year.
MEMBER ACTIVITIES
The AUXINFO Member Activities Report displays the number of hours an Auxiliarist was engaged in performing the mission specified in the column heading on the date shown.
PB, FACI & MDV COUNTS
These reports display the number of Pleasure Boats inspected, Auxiliary Facilities inspected or the number of Marine Dealer Visits conducted within a calendar year.
COMPETENCIES
The AUXINFO Competencies Reports (three separate reports, i.e. Boat, Air & Unit) lists the currency of an Auxiliarists competencies. A one under the heading "Number of Certifications" means the Auxiliarist is currently certified in the competency shown at the very top on the column. A one under the heading "Number of REYR" means the Auxiliarist has had their certification suspended for not performing the required annual tasks or not attending a required workshop.
FACILITIES
The AUXINFO Facility Report is sorted by facility type, i.e. Boats, Aircraft and Radio Facilities, and lists which flotilla owns the facility.
AWARDS
The AUXINFO Awards Report is sorted by flotilla and lists all awards issued to it's members by date.
Printing/Saving Reports in Adobe
To print a report using Acrobat, follow these steps. While the AUXINFO report is being displayed, look at the bottom of the screen for a toolbar containing icons. There will be an icon that looks like a sheet of paper with the corner folded over. Just to the right of that icon is a black triangle pointing upwards. Click on that triangle and a menu will pop up. There are two Adobe "pdf" options in the menu, i.e. "Export PDF..." and "Export PDF". The option "Export PDF..." presents another screen giving you some formatting options whereas the option "Export PDF" sends it directly to Adobe using default formatting. Once the report is loaded into Adobe, you can print and/or save it.
Printing/Saving Reports in Excel
These AUXINFO reports can be read directly into Excel for further analysis by clicking on the upward pointing triangle to the right of the "sheet of paper" icon in the tool bar at the bottom of the screen. When the menu pops up, click on "Export XLS". This will launch Excel and load the report. Once the report is loaded into Excel, you can perform any desired anaysis, print and save it.
The CSV Format
The CSV format outputs the report into a text file where the information is saved as a string of fields separated by commas, i.e. comma separated values (CVS). Each row of the report produces one of these strings of fields. The CSV format is sort of a generic format that can be imported into many types of programs including Excel, Word, PowerPoint, etc. To output to the CSV format, click on the upward pointing triangle to the right of the " sheet of paper" icon in the tool bar at the bottom of the screen and select "Export CSV" from the pop-up menu.
